Market Manager

Car Free Vancouver Society is seeking a Market Manager for our current festival season, starting at the beginning of/mid March until approximately Sept 30th, 2023. This is a part-time temporary contract position. Most planning work can be completed remotely.

ABOUT THE ROLE

The Market Manager provides strategic guidance, planning, and project management, in order to facilitate effective communication within the operations of the Car Free Day Vancouver festivals. They are responsible for overseeing the production of the coordinators and assisting with the Festival Operations. With sound knowledge of festival and event management and community building, this role supports the car free mission and builds community.

TASKS AND RESPONSIBILITIES

Duties include but are not limited to:

  • Oversees recruitment, intake, vetting, of volunteer coordination.
  • Attend all pre-festival planning meetings and other meetings as needed.
  • Report to and communicate with the Festival Operations.
  • Provide oversight to festival contractors.
  • Ensure traffic plans are implemented.
  • Provide safety protocols to volunteers, vendors, entertainers, staff, and attendees.
  • Assistance with creation/directions of festival programming.
  • Assistance with allocation of festival funding and budget creation.
  • Collaborate with the team to ensure projects are completed in a timely manner.
  • Additional duties to those described above by mutual agreement between the parties.

QUALIFICATIONS

  • Experience in large festival or event management.
  • Ability to lead and take initiative
  • You’re a strategic problem solver who’s self motivated, productive, and efficient
  • Ability to meet deadlines, adjust quickly to changes in priorities, and work within a team environment to achieve results. 
  • You have a sharp eye for detail and are consistent
  • Proficiency in Google Suite.
  • Proficiency in NationBuilder and AirTable is an asset.
  • A self starter, able to work independently and with minimal supervision
  • Great verbal and written communication and interpersonal skills
  • You are curious. You always seek to understand and ask questions.

REQUIREMENTS

  • Regular access to internet
  • Some weekday availability is an asset

RATE AND TERM

Pay/ Remuneration: $24/hour

Time commitment: 4-10 hours per week, day before the festivals, and day of festivals.

Schedule: You determine as long as the work is done in a timely manner.

Workplace Expectations 

This position will be entirely remote as we do not have a physical office. Contractors must have their own internet connection, and a computer or laptop. Meetings and communication with the team are conducted via video chat, email, or other software. Volunteer Coordinator

ABOUT THE ROLE

The Volunteer Coordinator is responsible for the recruitment, on-boarding, overseeing, and support of all the wonderful volunteers who assist with the days leading to and the day of the Car Free Day multi-festival events. We're looking for a self-starter with incredible eye for detail and strong organizational skills, administrative and communication skills. With knowledge and passion for volunteer engagement, this role supports the car free mission and builds community.

TASKS AND RESPONSIBILITIES

Duties include but are not limited to:

  • Collaborate with the festival programming team and event leads to determine volunteer needs for all festival events.
  • Recruit, on-board, and schedule volunteers for all necessary shifts over a variety of events, locations, and dates.
  • Work with the Market Manager and Festival Operations to promote volunteer opportunities as a part of the recruitment process.
  • Coordinate and execute virtual volunteer orientation ahead of festival month
  • Update and distribute volunteer information packages ahead of volunteer events.
  • Arrange hospitality and other supplies for all volunteer shifts by seeking in-kind donations or purchasing items when necessary
  • Provide volunteer reference letters as requested after events are completed
  • Solicit feedback from volunteers after their shift with the intent of continually improving the volunteer experience
  • Compile post-festival report
  • Additional duties to those described above by mutual agreement between the parties.

Vendor Coordinator

The Vendor Coordinator provides support, organization, and facilitation of vendors throughout the Car Free Day Festivals. They are responsible for managing vendors, obtaining fees and permits, and assistance in the creation of the festival maps.With a excellent organizational and communication skills, this role supports the car free mission and builds community.

TASKS AND RESPONSIBILITIES

Duties include but are not limited to:

  • Working with the Market Manager and Festival Operations, The Vendor Manager assists all vendors (including food and beverage) throughout the application process until they have paid their fee. This includes: registrations, acceptance emails, Vancouver Coastal Health forms, payment and confirmation emails, and sending payment reminders.
  • Emailing permits to paid vendors, set-up and tear-down details, and festival map.
  • Mapping vendors on the festival map.
  • Collaborate with the business fronts along the festival site to ensure there is no conflicting vendors in-front of their stores/restaurant.
  • Collaborate with the Social Media Manager to create vendor promotion content.
  • Additional duties to those described above by mutual agreement between the parties.

Entertainment Coordinator

The Entertainment Coordinator provides project coordination, planning, and strategic guidance, in order to create a festival rich in entertainment and community engagement. They are responsible for managing emails, programming, creation of set lists, and support for the entertainment at the Car Free Day festivals. With a sound knowledge of entertainment principles and community building, this role supports the car free mission and builds community.

TASKS AND RESPONSIBILITIES

Duties include but are not limited to:

  • Responsible for coordinating the 10+ family-friendly music and performance stages across the festival.
  • Program stages for music and performances.
  • Review the list of performer registrations in AirTable to select appropriate musicians and performers.
  • Coordinate with selected entertainers to build the set list.
  • Collaborate with Social Media Manager to establish performance promotion content.
  • Logistical coordination, including: site map locations (based on surrounding vendors, potential for overcrowding, etc.), and times for performances.
  • Manage approved buskers.
  • Additional duties to those described above by mutual agreement between the parties.

  • Knowledge of sound systems and gear is an asset.
