MARKET MANAGER

Car Free Vancouver Society is seeking a Market Manager for our current festival season, starting immediately until approximately Sept 30th, 2022. This is a part-time temporary contract position. Most planning work can be completed remotely.

ABOUT THE ROLE

TASKS AND RESPONSIBILITIES

  • Assist with communications and applications with local authorities
  • Assist with or lead communications with other event partners and stakeholders, including coordinating on-site partner activations
  • Oversee spending and budgets, including seeking quotes, anticipating revenue and allocating honorariums
  • Oversee the vendor application process from reviewing and accepting applications, updating and providing vendor information packages and arranging vendor health checks
  • Site and vendor mapping and day-of management
  • Coordinate market entertainment including seeking programmers and equipment as needed
  • Coordinate rental needs, logistics, management, safety and other related tasks
  • Anticipate volunteer needs and communicate with Volunteer Coordinator
  • Modify and implement health and safety protocols as needed
  • Oversees recruitment, intake, vetting, prizes, and volunteer coordination. 
  • Attend all pre-festival planning meetings and other meetings.
  • Conduct all site planning meetings.
  • Report to and communicate with the Festival Operations.
  • Provide oversight to festival contractors.
  • Ensure traffic safety plans are implemented.
  • Providing safety protocols to volunteers, vendors, entertainers, staff and attendees. 
  • Assistance with creation/direction of festival programming.
  • Assistance with allocation of festival funding and budget creation.
  • Primary person responsible for adherence to festival budget.
  • Assistance with festival-specific sponsorship or grant applications, as needed.
  • Additional duties to those described above by mutual agreement between the parties.

QUALIFICATIONS

  • Excellent communication, organizational and time management skills
  • Ability to take initiative on a variety of tasks
  • Experience with site management and/or vendor management an asset
  • Proficiency in Google Suite
  • A self starter, able to work independently and with minimal supervision
  • Great verbal and written communication and interpersonal skills
  • Experience coordinating large, public events
  • Ability to meet deadlines, adjust quickly to changes in priorities, and work within a team environment to achieve results
  • Strong delegation skills 
  • You are curious. You always seek to understand and ask questions.

REQUIREMENTS

  • Regular access to internet
  • Must be on site for full event day on Saturday, August 20th / Saturday, August 27th / Saturday, September 10th
  • Some weekday availability is an asset

RATE AND TERM

$22/hour for up to 50 hours, with the option to extend if needed.

VOLUNTEER COORDINATOR

TASKS AND RESPONSIBILITIES

  • Coordinate with festival programming team and event leads to determine volunteer needs for all festival events
  • Recruit and schedule volunteers for all necessary shifts over a variety of events, locations and dates
  • Work with Marketing Coordinator to promote volunteer opportunities as part of recruitment process
  • Coordinate and execute virtual volunteer orientation ahead of festival month
  • Update and distribute volunteer information packages ahead of volunteer events
  • Arrange hospitality and other supplies for all volunteer shifts by seeking in-kind donations or purchasing items when necessary
  • Facilitate health checks for all volunteers prior to each shift worked
  • Provide volunteer reference letters as requested after events are completed
  • Solicit feedback from volunteers after their shift with the intent of continually improving the volunteer experience
  • Compile post-festival report

VENDOR COORDINATOR

  • Responsible for mapping the festival and emailing registered vendors their permit, setup and teardown details and the festival map.
  • Working with the Festival Operations and Market Manager: The Vendor Manager works across all three festivals, and deals with all vendors (including food and beverage) throughout the application process until they have paid their fee. This includes handling the registrations, acceptance emails, Vancouver Coastal Health forms, liquor applications, payments and confirmation emails, and sending payment reminders. 
  • Creating the festival map.
  • Coordinate with festival programming team and event leads to determine vendor needs for festival events
  • Compile post-festival report
  • Attend all pre-festival meetings

  • Attend all pre-festival meetings
  • Responsible for coordinating the 10+ family-friendly music and performance stages across the festival.
  • Oversee different types of stages
  • Programme stages for music and performances 
  • Review the list of performer registrations in Airtable to select appropriate musicians and performers, and coordinate with selected performers to build the set list 
  • Logistical coordination including preferred locations (based on surrounding vendors, potential for overcrowding, etc.) and times for performances 
  • Manage approved buskers
